Booking charges and cancellation terms
Complete this page for each rental. A booking deposit is a payment toward the rental fee. A security deposit is a separate refundable amount held for damage or other amounts owed under this Agreement.
Post-rental invoice payment deadline: 2 calendar days after invoice sent
1 Reservation and payment
The reservation is confirmed only after Studio accepts this Agreement and receives the booking payment stated above. The signed Agreement and required insurance documentation must also be received before access. No monthly payment grace period applies. A missed or delayed invoice does not extend a payment deadline stated in this Agreement.
2 Cancellation and rescheduling
Renter must email cancellation or rescheduling requests to the Studio notice email. The notice cutoff is 24 hours before the reserved start time unless both parties write a different cutoff below. A reschedule is effective only when Studio confirms the replacement booking in writing; availability is not guaranteed. Complete the financial consequences below before signing.
Cancellation charge with timely notice: reschedule or 100% of rental total
Cancellation charge with late notice or no-show: 100% of total – no reschedule options for no notice/no shows
Rescheduling fee / credit terms and expiration: N/A
Each stated cancellation charge includes any booking deposit retained; the deposit is not charged again. Payments already received are credited against the amount owed. Unused security deposits and any rental payment exceeding the applicable cancellation charge are returned within 30 days after cancellation less other documented amounts properly owed. A blank cancellation charge does not authorize an automatic forfeiture or charge.
Rental time and included access
3 Reserved time and overtime
Access begins at the confirmed start time and ends at the confirmed end time. Early entry and extensions require Studio approval. Late arrival or early departure does not reduce the booked rental charges. Renter and all guests must be out, with the studio reset, by the end time. Overtime is billed at the completed rate and increment on the charges page and does not create a right to remain. If no overtime rate is entered, the booked hourly rate applies, prorated to actual minutes used. Studio may refuse an extension when another booking or operational need requires departure.
4 Space Only rental
Space Only includes approved shooting areas, installed backgrounds, dressing rooms, restroom, waiting area, and designated common areas. It excludes studio lights, modifiers, grip equipment, cameras, props, angel wings, wardrobe, salon use, and staff assistance unless specifically added to this booking. Renter supplies their own equipment and may not use excluded studio property without approval.
5 Studio rental with equipment and wardrobe
This option includes available photography lighting, modifiers, backgrounds, props, posing furniture, wardrobe, angel wings, salon area, dressing rooms, waiting area, and furnishings within the approved areas, subject to booking exclusions and safe use instructions. Cameras, photography services, hair and makeup services, lighting setup, posing, and technical assistance are not included unless expressly listed. A specific set, garment, or item is guaranteed only if confirmed in writing. If a confirmed essential item becomes unavailable, Studio and Renter will agree on a substitute or adjustment; if they cannot, Renter may cancel the affected booking and receive the corresponding refund.
6 Equipment and studio property
Only people familiar with safe operation may use studio equipment. Follow Studio instructions, secure stands and modifiers, and report unsafe or damaged equipment immediately. Do not repair, alter, or rewire equipment. Studio property must remain on the premises unless written permission is given. Do not move installed fixtures or heavy furniture without permission. Return wardrobe, wings, props, and equipment as instructed; do not wash or alter garments without approval. Renter should inspect their own equipment and protect it during use.
7 Guests and independent businesses
Renter must remain present and is responsible for their clients, models, assistants, artists, contractors, and guests. Attendance may not exceed the approved limit. Minors require a responsible adult and appropriate parent or guardian consent. Workshops, multiple photographers, and additional businesses must be disclosed and approved for this booking. Renter may not assign, sublet, sell, or share the reservation. Renter operates independently and may not represent themselves as Studio staff or an agent of Laura Dark Photography.
8 Privacy and permissions
Renter is responsible for obtaining any necessary model, guardian, property, or other permissions for their production and for respecting other occupants. Do not photograph unrelated renters or clients, enter occupied dressing areas, or use Studio branding to imply endorsement. Studio does not acquire rights to Renter’s images through this Agreement.
Studio care and safety
9 Permitted and restricted activities
Use is limited to the lawful activity and areas approved on the booking page. No illegal activity, violence, threats, harassment, or unsafe conduct is permitted. Open flames, fireworks, smoke bombs, haze or fog, glitter, confetti, powders, fake blood, liquids on sets, animals, and other effects require advance written approval and any required safety arrangements. Do not paint, drill, tape, nail, or otherwise alter walls, sets, backgrounds, or fixtures without permission. Approval never authorizes an unlawful activity or violation of fire or building rules.
10 Access and security
Enter only as directed by Studio. Keys, door codes, and alarm credentials may not be copied, loaned, shared, or disclosed. Renter is responsible for admitting their guests and preventing unauthorized entry. Keep exits and walkways clear. Park only in designated areas. At departure, follow Studio instructions for equipment shutdown, doors, lights, alarms, and return of keys. Do not leave the studio unattended with guests inside or doors unsecured.
11 Cleaning and reset
Before the reserved end time, return equipment, furniture, props, and wardrobe to their designated locations; clean work surfaces and dressing areas; remove personal property and trash as directed; and leave the studio in substantially the condition received. Report spills and damage promptly. Ordinary use and normal wear are not damage. Excessive cleaning is charged at reasonable, documented actual cost, or an expressly agreed rate listed under special terms. Normal reset and cleanup time remain part of the rental.
12 Damage and security deposit
Renter is responsible for loss of studio property and damage beyond normal wear caused by Renter or their clients, guests, assistants, or contractors. Studio may apply the security deposit to documented unpaid rental charges, missing items, reasonable repair or replacement costs, and excessive cleaning charges for this booking. The deposit is not a limit on responsibility and is not automatically forfeited. Studio will provide an itemized statement and return any unused deposit within 30 days after the rental ends. Any additional documented amount owed is invoiced under the payment deadline on the charges page. Studio will not collect twice for the same loss.
13 Insurance
Renter must maintain commercial general liability insurance of at least $1,000,000 per occurrence covering the rental activity and provide proof before access. Coverage must remain effective throughout the rental. Any exception must be expressly approved in writing by Studio below; an exception does not waive Renter’s responsibility for damage. Liability insurance does not necessarily cover borrowed or rented equipment. Renter is responsible for confirming appropriate coverage with their insurer. Additional insured status or equipment coverage is required only if specified in the special terms.
Responsibility and agreement terms
14 Incidents and responsibility
Renter must stop unsafe activity, notify Studio promptly of any injury, damage, loss, or security issue, and call 911 for an emergency. Renter assumes the ordinary risks of their production and use of equipment. To the extent permitted by Ohio law, Renter will indemnify and hold Studio harmless from third party claims, losses, and reasonable costs, including reasonable attorney fees, to the extent caused by Renter’s or their invitees’ negligence, willful misconduct, or breach of this Agreement. This does not require Renter to cover Studio’s own negligence or willful misconduct or waive rights that cannot lawfully be waived. Studio is not an insurer of Renter’s belongings and is not responsible for loss or damage except to the extent caused by Studio’s negligence or willful misconduct.
15 Interrupted bookings and default
Studio may refuse or stop access for nonpayment, missing required insurance, credential sharing, theft, damage, illegal activity, threats, unsafe conduct, or a material breach. When practical and safe, Studio will allow Renter an opportunity to correct the problem. Renter remains responsible for charges properly due under this Agreement and documented damage; stopping access does not create an automatic additional penalty or forfeiture of the security deposit. If Studio cancels or cannot provide the reserved space for reasons not caused by Renter, Renter may choose a mutually acceptable replacement time or a refund for the unavailable rental time and associated unused add ons. Any unused security deposit will also be returned.
17 Notices and changes
Send booking, cancellation, payment, and other notices to the email addresses on the first page. Renter should contact Studio by phone if an urgent notice appears undelivered. All changes require written agreement by both parties; email acceptance is sufficient for scheduling changes, but changes to fees, cancellation terms, or liability must be signed by both parties. No later membership conversion or transfer of booking payments is effective unless separately agreed in writing.
18 General terms
This is a limited commercial license for the stated booking, not a residential lease or a monthly membership. It creates no partnership, employment, or agency relationship. Ohio law governs. If a provision is unenforceable, the remaining provisions remain effective to the extent permitted by law. The prevailing party in an action to enforce this Agreement may recover reasonable attorney fees and court costs only to the extent permitted by Ohio law. This Agreement, completed booking terms, identified attachments, and signed amendments contain the entire agreement for this rental. The parties consent to electronic records and signatures and may sign in counterparts.
Acknowledgment and acceptance
By signing, the parties accept the completed booking details, charges, cancellation and rescheduling terms, and this Agreement. Renter acknowledges receipt of the attachments identified above. A person signing for a business represents that they are authorized to bind the business; that signature does not itself create a separate personal guarantee.
